It's looking good so far but like, I don't know how to stop getting emails when anybody adds a comment, or they resolve a comment that I, even if I haven't done it. Yeah. Yes, I'm going to be the fresh set of eyes so I actually have four hours blocked next Friday to go through the whole final program. Love that for you. Yeah. How excited are you for conference Joe? I'm yeah I made my I booked my flight this morning so got everything lined up ready to go. Other than Allison and I are booking our team's flights tomorrow. So when the on the shared file for the PowerPoint, there are presenter note or notes on the presenter view, can we set it up where we see that but the participants do not. If we want to do that I believe you would have to share it on your end, or have it open in a tab and like Jen can still share it, or I can still share it but you would have to also have it open on your screen, because we can't show on my end. Hello, everyone. Thank you so much for joining us today. Webinar today is Maximizing Your AAOE Conference Experience as a Hospital-Based Orthopedic Practice. A few housekeeping notes to get us started. All attendees will be in listen-only mode. We will be using the Q&A function today to gather questions for our speakers. Our speakers for today are Andrea Allen, Clinic and Sports Medicine Director of Heartland Orthopedic Specialists, and Joe Ogle, Director of Ortho Oklahoma. I will now turn it over to Andrea and Joe to get us started. Hey, everybody. Welcome. It's good to see you. And we're glad that you are participating in the webinar today. If you're here today, I presume that you've got a special interest in learning more about how AAOE can benefit you and your knowledge base as a hospital-based orthopedic practice executive. We could advance that screen to the next one. A couple of housekeeping items that have already been covered. If you have questions, drop those into the chat. All right. And some know-before-you-goes here for conference. Some people I know we have probably two different camps here, people that prepare before heading to conference and those that get on the flight and maybe start preparing about that time or even once you show up. But we'll go to the next slide here. A few items worth looking at ahead of time is just to be aware of the Attendee Service Center. So that's on the website where you registered. That allows you to kind of pre-register or highlight sessions that you think you would really like to attend. We obviously here will highlight a few that we've identified as we feel would be good fit for a hospital track, but you can always go to whatever sessions you feel most apply to you and your practice. So the Attendee Service Center is best accessed on your computer. And then about two weeks before conference, a mobile app becomes available, and that is really handy. I probably find that the most – that's what I use the most, and that is the only thing I use while at conference. But it is handy to have that downloaded and log in ahead of heading to conference. It's one thing I do prepare ahead of time. It's probably just downloading that app. For those that may be coming in on Thursday, we do have a member reception. Encourage everyone to stop by there. Gives you a great opportunity to meet and greet. Put some faces with names that you've seen on Collaborate or just introduce yourself to some new people that you haven't met and start that networking. Lastly, the Hive. The Hive is something we've had now at the conference for a couple of years. It's a great area to just stop by whenever you have some downtime. Introduce yourself to peers and to AAOE staff. If you have questions about the conference, they can answer probably, hopefully, a lot of those questions there. If you just can't figure something out in the app, you can't figure out where to go, we're all learning together as we typically arrive at a new site. Really encourage the Hive as an area to just meet up. I know later on we may talk about the Exhibit Hall. If you're scared about that, go to the Hive ahead of time, find a friend. The Hive is really just a gathering point for our members, and we strive for it to be – there is a vendor who sponsors it, but otherwise a vendor-free area. Let's move on to the next slide. How did we land here? How did we develop a hospital track for AAOE conference? My background is I work in a hospital setting, a hospital orthopedic department. I know Andrea does as well. My practice was a private practice, and then in 2013 was acquired by our local community hospital here in Stillwater, Oklahoma. I was having an interesting conversation with a colleague at conference actually, or actually it was after conference, and I asked him if he was going to be going to next year's conference. This is a couple of years ago. He also is a manager in a hospital setting orthopedic practice. He said, well, I'm not going to go to conference this year, and the reason is the last conference was heavy on content that was more driven towards a private practice and not as much towards a practice in a hospital setting. As we all are struggling with the challenges of shrinking dollars for education and the need or the request for us to provide return on investment and justify to the people that we report to for spending these education dollars, he indicated to me, he shared with me, that it was just getting hard to justify to his leader the value of coming to the AOE conference because of the lack of hospital offerings. With that in mind, that request to add hospital and system and corporate content to our annual conference, there really are four main reasons that we are offering a hospital track. The first is AOE, we recognize the unique challenges faced by hospital-based orthopedic executives and practices, everything from accreditation and regulatory requirements and activities, promoting interdepartmental cooperation and alignment, hospital-based billing, and implications with our insurance payer contracts, complex organizational hierarchies, performance metrics, differences, data siloing, and that list goes on and on. The second reason is really the growth of hospital employment by physicians and orthopedics. It's estimated that approximately 30 to 40% of orthopedic surgeons in the United States are employed by hospital or health systems, which is a significant increase from about a decade ago when the percentage was closer to 20%. Overall, across all specialties in April of 2024, Becker's Hospital Review reported that more than 77% of US physicians are employed by hospitals, health systems, or corporate entities. So it's a trend that continues to move more towards employment for hospital-based healthcare in the United States. The third reason is, and this is not unique to a hospital track, but the importance as professionals of peer networking among other executives, in this case, hospital-based executives. We'll share best practices. We'll stay ahead of trends. We'll benchmark our performance. We'll discuss professional support and leadership development. Innovation and quality improvement are topics that are always so valuable at annual conference, not to mention advocacy and influence. And the fourth reason, the fourth and final reason is a commitment to addressing system-specific challenges and opportunities. It's important for us to continue to quantify the value of attending orthopedic-specific training, education, as well as collaborating with our peers. The AOE Annual Conference is the only conference in the US dedicated solely to orthopedic practice professionals. More than a hundred companies will exhibit at the conference, specializing in a variety of products and services for our orthopedic practices. There'll be 10 different blocks of orthopedic-specific educational sessions that'll be offered. And these sessions are relevant for orthopedic practice and professionals of all experience levels and focus on various function areas, whether that is private equity, private practice, hospital or system-based, young and new professionals. There is literally something for everyone. And so with that, I'd like to advance the next slide and hand it to Andrea to start discussion about which hospital track-specific offerings this year's conference will have. All right. So we're going to run through some slides here again with the sessions that are highlighted on the hospital track. Know that you will receive a handout after this webinar also, that is kind of a one-pager that helps summarize these sessions. So some more to come after the webinar, but as I mentioned on Thursday, for those that may be coming in on Thursday, we do have a welcome happy hour that I really encourage everyone to come to. It's a great way just to kick off conference, meet new people, reconnect with those you've seen at past years, and just kind of really get everything started. On Friday, the compliance concerns with AI and chat GPT. This is put on by Sean Weiss. I believe that's how he says it. He's a big compliance expert, healthcare fraud and false claims. He hosts a compliance guy podcast. So this is one that while you in a hospital system, this may not be your focus or your hat. This is probably always a good one that we all have to have a little bit of awareness on. And so chose that. Maximizing the value of your AAOE membership. I am continually learning what AAOE offers. And so we know that there's so much out there that we are going to the membership council is putting on this session to really help. So often people say, gosh, I didn't know that was included in my membership. I didn't know AAOE offers that. So if you're at all wondering what else you can get out of your membership, this is a great session to attend. Group sessions. So you'll see there's a few round tables here throughout the conference. And so group discussions by practice size. You may think, well, what is my practice size? I'm a hospital. Why would I go to this one? Honestly, these group discussions are by far probably my favorite. They really allow for conversation. And so for this one, just consider your practice size. My physician size, we have nine physicians and eight mid-levels. And so they will divide practices up by that type of account. So just know your total count of orthopedic physicians, providers, and you'll easily be able to jump into these discussions. And then we end the night with our opening reception at the exhibit hall. Again, a little more to come on the exhibit hall later. So I'm not going to focus on that right now. So we can go to the next slide. Andrea, did you say you have nine physicians and eight APPs? Correct. That's exactly the size and ratio of our practice, too. So nine physicians and eight advanced practice providers. So should be looking at the Saturday and Sunday slide here. That will be full-day education for each of those days. And the majority of the training and the keynotes will be on those days, although there are plenty of good things to see on Friday and Monday as well. Our opening keynote is called Sometimes the Challenge Chooses You. You guys are in for a huge treat with this one. This will be delivered by a gentleman named Mark Pollack that has overcome some physical challenges in his life to accomplish great things. He is an accomplished endurance athlete and has set many records, including trekking and hiking to the South Pole and mountain climbing and extreme sports. And you guys are really going to be inspired by him and his message. Sometimes you choose the challenge, and sometimes the challenge chooses you. And so he's got a very unique perspective that I think all of us can take something away. 10 o'clock, one of the offerings that will be included in the hospital track is identifying your employer brand. The speaker will be Madison Traylor from Advanced Scope. Madison will be talking about the importance of deliberate employer brand development, strategies for building an attractive workplace culture, marketing your brand effectively to retain providers and attract top talent. So really looking forward to seeing that particular session as well. Then at 1 o'clock, I'm sorry, 115, a session after lunch and after time in the exhibit hall, we'll be exploring new service lines, finding your way in the weeds. Sometimes it can get overwhelming, all of the different things that are available and things that are offered. And so this session will be led by Krista Armstrong from Ortho Lone Star, and it will focus on the evaluation criteria for new ancillary revenue streams where you can look at viability, profitability and sustainability, those new service lines and how they align with your practice values while minimizing compliance risks. And then also providing a framework for defining practice identity and implementing a long term ancillary culture in your practice. And then at two thirty, that session will be Customer Service Excellence, Overcoming Challenges and Elevating Patient Care. That will be presented by Leanne Galligan from Peachtree Orthopedic Clinic and Lindsey Sullivan from the Bone and Joint Institute of Tennessee. Leanne and Lindsey will address common customer service challenges in orthopedic settings. They'll teach how to effectively train staff for improving patient satisfaction. They'll discuss also building communication skills and empathy among team members. And then at 3.15 will be group discussion by topic. And you can see how those are arranged between different subject matter such as leadership, legislative and regulatory issues, patient care and workflow, practice models and ancillary service, staffing, as well as technology. So full day, big day on Saturday, as well as Sunday. For group discussions too, you get to pick which topic you want to hear more about or you want to discuss with the people that attend. So just to kind of give you a heads up of how those work, they're group discussion based. They're very organic. There's usually a facilitator. The facilitator usually is not really throwing out the or leading that discussion per se. It's just making sure that those discussions are continuing on. But lots of great information with people that have some of the same interests that you do. And so having six or seven different options there is nice. On Sunday, we'll start at 830 with a session called Building a Winning Culture in Orthopedic Practices. That session will be led by Rochelle Gladden from Midlands Orthopedics and Neurosurgery. Jennifer Monroe from Ortho Tennessee and Lindsay Sullivan from Bone and Joint Institute of Tennessee. I happen to know all three of these individuals. That will be a wonderful session. They are all three top in their field as far as culture and this particular subject matter. They'll be sharing with us how to create a workplace culture that enhances staff and patient satisfaction, as well as what techniques you can use for fostering collaboration and team alignment with organizational goals and building staff morale and sense of belonging to drive practice success. At 1045, there will be an all conference session called the keynote or for awards is also a keynote. The keynote will be called The Perfect Storm that will be delivered by Don Harky. Don is with People Centric in southwest Missouri. Don is an engineer. Don't let that fool you. He is very funny and very engaging and delivers a great talk. And so I have heard Don talk on a couple of different occasions. I'm always very entertained and that helps me to retain what his subject matter is and allows me to take some of that back to my practice. So you're in for a treat with Don. And then at two o'clock after lunch, the session is attracting new patients with the latest technology. I am particularly looking forward to this one that will be presented by Kevin O'Sullivan at Barrington Orthopedics. Special shout out to Kevin O'Sullivan today on St. Patrick's Day, because that's a very St. Patty's Day type of name. So shout out to Kevin. Kevin will be covering digital tools that can improve your patient experience, digital check-in, online scheduling, satisfaction surveys, etc., as well as enhanced payment pathways and communication improvements, AI applications for reducing wait times and streamlining documentation, as well as operational efficiency through technology for prior auths and denial appeals. Following that, we'll talk about the state of orthopedic AI. There seems to be a lot of AI in this year's conference. So really excited about all of the things that are going on. This particular session will be presented by John Wang at Assort Health, Kimuel Carey at Peninsula Orthopedic Associates, Ali Bakhshinajad from NexusMD, and Ross Rigdon from Raleigh Orthopedic Clinic. The panel will be talking about current AI applications, how AI implementation drives practice efficiency, as well as practical strategies for successful AI adoption based on Raleigh Orthopedics experience with Ross. So really looking forward to hearing about their experiences and how we might be able to take some of the things that they learned and avoid some of the pitfalls that they may have experienced. And then at 345, we'll end the day with another roundtable. There are several offerings. There is a hospital-based practice roundtable on Sunday afternoon for hospital-based practices. So we hope to see you guys there at that discussion. Going on to the next slide. Andrea, will you take the Monday? Yeah. Monday, last day. So starting off, we identified 815 to 9, winning the talent game, recruitment and retention in orthopedic health care. I happen to be one of the panelists on this session, along with Leanne Galligan, Alyssa Ashley High, and Shannon Young. And so we're covering all things recruitment and retention, no matter your setting. In fact, that's a component of what we have put into this presentation. 915 to 10, understanding teamwork, what it is, and how you can create it. Our speaker here is Paul Bruning. He's at Duke University right now, has been at a couple other hospital sites also. But this is a great talk on looking at some research-based insights on the impact of teamwork on efficiency and profitability. And then we will end the morning in the conference with our closing keynote, who is Maria Milagros. I might not have pronounced that right. And the title there being You First. She is a winning keynote speaker, award-nominated author, two-times TEDx speaker, storyteller, personal growth and development expert, who will hopefully be able to give us some relevant tools and shifted mindsets that last well after her presentation that we can all take home with us from conference. All right, next slide. So the exhibit hall, one item we wanted to review with everyone. We can go right into the next slide here. A few things we definitely want to kind of just give a heads up on. If you have not been to conference before, our exhibit hall sometimes is seen as huge and a little intimidating. So encourage everyone, don't forget to pack your business cards, even put them in your bag now, because there's lots of great drawings and prizes you can win by putting a business card in different buckets or giving them to the vendors. As I mentioned earlier, stop by the Hive if you're at all worried about going by yourself, not sure what to do, how to navigate it. Find someone there to take along with because you can't let the space scare you. Maybe even just by starting in one little section for your first, you know, you say I'm going to go in for 30 minutes and I'm going to tackle this section is kind of a nice way to go at it. We could not make this conference happen without our exhibitors. And so please, again, spend time with them, interact with them. Be sure to thank them for their support because they are what keeps our costs and attending conference what it is today. And to quote one of my coworkers, you never know what products you may need in the future. So, well, not all vendors in the exhibit hall may relate to hospital based settings or there may be a lot that are revenue cycle focused and that may not be your area. You have a rev cycle team for that. It's always good to know what's out there. You never know what you're going to need in the future. And so just to have that awareness of what's out there, you can still talk with those people, be honest with them that you may not be the decision maker on this product. That's okay. It doesn't mean you can't talk to them. And then go ahead and bring items back for your coworkers. If there's something that you really like and think could help your system, go ahead and take some information from them and bring that back for your coworkers. And lastly, the exhibitor card is a great icebreaker as you're getting used to navigating that exhibit hall. Typically, it's a card. You got to get a sticker or stamps from the vendors. You complete that card. It goes in for prizes. We're all about prizes. And so that's a great way to just be able to go up and be like, I'm completing my card. What can you tell me about your business? It's a nice icebreaker, if at all, intimidated by the exhibit hall. Again, just tackle it in whatever way you can start, and I think you'll quickly find that it's not so intimidating. And that is where mostly you will find the food and the coffee. So there's other reasons why you will navigate it during your time at conference. All right, next slide. Yeah, those are great tips, Andrea. Our practice uses two key, we have two key vendor partnerships that we met at the AOE exhibit hall. And just as she said, it took us a couple of years to get there on one of those as a hospital system. I don't get to unilaterally make decisions for my organization just because it benefits Ortho. Some of these relationships started out with an Ortho relationship, and then they've grown into hospital-wide initiatives. And so there's lots of great opportunities. Also, not only do you have an opportunity to win prizes by getting your card stamped, a lot of the exhibitors have giveaways and prizes and fun things at their booths. So bring a bag. She's got it on her list there on what to bring, but you may want to bring an extra suitcase with you because you'll have a hard time getting home with all the swag and all the giveaways. So under CEUs and CMEs, actually, let's go ahead and advance to the next slide there. There are a half dozen or so different CEUs and CME opportunities. Annual conference has been approved for up to 15.25 CEUs. That includes the two-hour pre-conference. By the way, the two-hour pre-conference has to do with Excel pivot tables. And so managing the better data, powerful tools, and better decisions, that has to do with Excel and pivot tables. So if you're so inclined to that, sadly, maybe a little above my comprehension level. So one good thing about being in a hospital system is we've got a lot of data people and accounting people. And so if I need some analysis like that, I have the ability to call a guy here. His name is Jacob. So I just email Jacob and say, hey, I need to see this information. Can you get it to me? And in about an hour, he'll have it back on a pivot table. But anyway, the different organizations, AAPC, the American Association of Professional Coders, offers CEUs, as well as the American College of Medical Practice Executives through MGMA, the Board of Certification for Certified Athletic Trainers. I am a certified athletic trainer. Andrea is a certified athletic trainer. Two clinic managers from Ortho Oklahoma that will be coming to the course are also athletic trainers. And so this is a great benefit. We have to have about 50 CEUs every two years. And so this will knock out a great chunk of those for us. If you're like me, you wait till the last half of the last reporting year or period, and you're scrambling. And so I'm looking forward to that. HBMA, which is the Healthcare Business Management Association, SHRM, which is the Society for Human Resource Management. There's also an opportunity for CMEs. So if you have a managing partner or a physician that's coming with you, then CMEs are provided through the University of Nevada at Reno. And those are longstanding relationships between AAOE and these organizations. So it's very easy to report and turn in your information to get the proper credit for the professional designation that you may have. So that's not why I go to annual conference, but this is certainly a benefit that I enjoy. And one thing I forgot to say earlier, that mobile app. If you are trying to get CEUs, that mobile app is your best friend. You will have a check-in and a checkout code before each session. And you can use that code on the app to then get your credit for attending the sessions. Again, you'll quickly see the people that are meeting CEUs and using that app to track them. So if you know you're going to be meeting CEUs, again, download that mobile app ahead of time because you will need it to enter those check-in and checkout codes. Also would just highlight, if you ever miss one of them, they go too fast, you can always connect with the facilitator at the end of the conference to get that information. There's a facilitator in each room. Because we do know for many of us, our CEUs, CMEs is a big why we're able to attend conference and where we can justify that value. All right. Next slide. Sometimes it helps to know that you're not in it alone and it helps to know, I learn things and have taken so much away from conference, but also just as powerful for me is knowing that we're doing some things right. And we go and some of the things that we are doing are validated and it's reinforced that the way we are handling some of these challenges or best practices that others are doing as well throughout the association. I think I would highlight again, the group sessions that you'll end up breaking out into either different practice size by topic. We even have a hospital-based one. Those are just great networking opportunities. You can listen in on the conversation, you can partake as it applies, but those are always really valuable sessions. And then I also just like to highlight again, the Hive. It's a great place just to meet up. You may have a question, the person you're talking with doesn't know, but they're gonna say, hold on, let me grab so-and-so. And really just the networking of these conferences is invaluable. You don't know why you're gonna call that person or email that person six months or a year from now, but it's always nice having that contact and having a face with the name for when you do wanna reach out.
